Welcome to Black Kids Travel (“Black Kids Travel,” “we,” “our,” or “us”). Black Kids Travel is a community dedicated to creating culturally immersive group travel experiences for families and individuals. By accessing our website, applying for membership, booking a trip, making a donation, or purchasing products or services, you agree to these Terms and Conditions (“Terms”). Our site includes information about trips, applications, and payment options, including deposits and installment plans.


1. Acceptance of Terms

By using this website or participating in any of our programs, you confirm that:

  • You are at least 18 years old or are acting under the supervision of a parent or legal guardian.
  • You have read and agree to these Terms.
  • You have the legal authority to enter into this agreement on behalf of yourself and any accompanying travelers.

If you do not agree with these Terms, please do not use our website or services.


2. Services Provided

Black Kids Travel organizes and promotes:

  • Group travel experiences and educational trips
  • Membership applications and community access
  • Payment plans for approved trips
  • Donations and fundraising opportunities
  • Merchandise and digital resources

We act as a travel organizer and community facilitator. We do not own or operate airlines, hotels, transportation companies, or other third-party suppliers.


3. Membership and Application Process

Participation in some trips or community offerings may require:

  1. Submission of an application;
  2. A phone or video interview with our team;
  3. Approval by Black Kids Travel;
  4. Payment of deposits or membership fees.

We reserve the right to approve or decline applications at our sole discretion.


4. Booking and Payment Terms

Deposits

A non-refundable deposit is required to reserve a spot on most trips. Black Kids Travel states that approved travelers may secure their place with full payment or a minimum 30% deposit.

Installment Plans

If offered, installment plans must be completed by the due dates provided at checkout.

Final Payment

Unless otherwise stated, all balances must be paid in full no later than fourteen (14) days before the trip departure date.

Failed Payments

If a payment fails or remains overdue, we may suspend or cancel your reservation without refund of prior payments.


5. Pricing and Availability

All prices are listed in U.S. Dollars unless otherwise noted. Prices are subject to change until your reservation is confirmed. Availability is limited and not guaranteed until payment is received.

We reserve the right to correct pricing errors and to cancel bookings if a material error has occurred.


6. Cancellation and Refund Policy

Traveler Cancellations

All deposits are non-refundable unless specifically stated otherwise.

Because we commit funds to hotels, tour operators, and other suppliers in advance, payments are generally non-refundable and non-transferable.

Company Cancellations

If we cancel a trip for reasons within our control, you may receive either:

  • A refund of amounts paid to Black Kids Travel; or
  • A travel credit for a future trip.

Supplier Policies

Airlines, hotels, and other providers may have their own cancellation and refund rules that will apply separately.


7. Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance covering:

  • Trip cancellation and interruption
  • Medical emergencies
  • Evacuation
  • Lost or delayed baggage

Black Kids Travel is not responsible for losses that could have been covered by travel insurance.


8. Travel Documents and Requirements

Travelers are responsible for obtaining and maintaining all necessary:

  • Passports
  • Visas
  • Vaccinations
  • Health certificates
  • Parental consent documents for minors

Many countries require passports to be valid for at least six months beyond the return date.

Failure to secure proper documentation may result in denied boarding or entry without refund.


9. Health and Medical Responsibility

You are responsible for determining whether you are medically fit to participate in a trip.

You agree to disclose any condition that may affect your safety or the safety of others. We reserve the right to decline participation if we reasonably believe a traveler cannot safely participate.


10. Assumption of Risk

Travel involves inherent risks, including but not limited to:

  • Illness and injury
  • Transportation delays
  • Political instability
  • Natural disasters
  • Theft and loss of property

By participating, you voluntarily assume all such risks.


11. Release of Liability

To the fullest extent permitted by law, Black Kids Travel and its officers, employees, contractors, and affiliates shall not be liable for any injury, loss, damage, delay, or expense arising from:

  • Acts or omissions of third-party suppliers
  • Weather events or force majeure
  • Government restrictions
  • Personal negligence
  • Participation in optional activities

Our liability, if any, is limited to the amount you paid directly to us for the affected service.


12. Force Majeure

We are not responsible for delays, changes, or cancellations caused by events beyond our reasonable control, including:

  • Pandemics and epidemics
  • Natural disasters
  • Acts of war or terrorism
  • Government actions
  • Transportation disruptions

In such cases, refunds will be governed by supplier policies and any applicable credits available to us.


13. Conduct and Removal

We reserve the right to remove any participant whose behavior is disruptive, unsafe, unlawful, or inconsistent with the values of our community.

No refunds will be provided for removal due to misconduct.


14. Photography and Media Release

By participating in our trips and events, you grant Black Kids Travel permission to use photographs, videos, and testimonials featuring you and your minor children for promotional and educational purposes without additional compensation.

If you prefer not to be photographed, you must notify us in writing before the trip.


15. Donations

Donations made through our website are voluntary and generally non-refundable unless required by law or due to processing error.


16. Intellectual Property

All website content, including logos, text, photos, videos, and graphics, is the property of Black Kids Travel and may not be reproduced without prior written consent.


17. Third-Party Links

Our website may contain links to third-party websites. We do not control or endorse their content and are not responsible for their privacy practices or services.


18. Privacy

Your use of our website is also governed by our Privacy Policy, which explains how we collect and use personal information.


19. Governing Law

These Terms shall be governed by the laws of the State of Florida, United States, without regard to conflict-of-law principles.


20. Dispute Resolution

Any dispute arising out of these Terms shall first be addressed through good-faith negotiation. If unresolved, disputes shall be submitted to binding arbitration in Florida, unless otherwise required by applicable law.
